1. Who we are

AutoHub Leeds (“we”, “us”) sells used cars and commercial vehicles from Walford Road, Leeds. We decide how and why your personal information is used, which makes us the “controller” of it under UK data protection law. To ask anything about this notice or your information, email info@autohubleeds.co.uk or call +44 7990 700028.

2. What we collect, and why

Looking at this website. We count visits so we can see which cars and pages people look at. For each page opened we keep: which page, which car (if it is a car page), the website you came from, your country, whether you used a phone or a computer, and a scrambled code that lets us count one visitor once in a day. We do not use cookies for this and we do not keep your IP address: it is only used to make the scrambled code, which is one-way and different every day, so it cannot be turned back into you or followed from one day to the next. Our reason: running and improving the website (“legitimate interests”).

The chat assistant. What you type is sent to the company that runs the AI behind the assistant so that it can reply. We do not keep your conversation. To stop one person sending a flood of messages, your IP address is held for up to an hour. Please don’t put sensitive details (bank, card or ID numbers) into the chat. Our reason: answering your question (legitimate interests).

Valuations and part-exchange requests. Your name, phone number, email address, the car’s registration, make and model, mileage and condition, and the car you are interested in, if any. We use it to value your car and get back to you. Our reason: taking steps at your request before a contract.

Reserving a vehicle. Your name, phone number, email address and any message. We use it to hold the vehicle and contact you. Our reason: taking steps at your request, and the contract that follows.

Buying, selling or test driving. Your name, address, phone number and email address, the vehicle and sale details, how it was paid for, and for a test drive your driving licence details. This goes onto the paperwork for the transaction, and if you sign on paper we keep a photo or scan of the signed pages. Our reasons: carrying out the contract with you; keeping the business and tax records the law requires; and protecting both of us if there is a dispute (“legitimate interests”).

Signing online. If we send you a document to sign on your phone, we keep your name, the details you type, your drawn signature, the date and time, and your device’s IP address and browser details at the moment you sign, as evidence that it was you. Our reason: the contract, and protecting both of us (“legitimate interests”).

Photo ID. If we ask for it, a photo of your driving licence or passport, to confirm who we are selling to and to protect against fraud. It is stored securely and only we can see it. It is never put on the copy of the document you are given. Our reason: preventing fraud (“legitimate interests”).

Getting in touch. If you call, email or message us (including on WhatsApp), we keep what you send so we can deal with it.

We don’t sell your information, and we don’t add you to a marketing list.

3. Who we share it with

We use other companies to help run the website and our email. They handle your information only on our instructions. They provide our website hosting and security, our database, our email sending and mailbox, and the AI service behind the chat assistant.

We may also share information where the law requires or allows it: with the DVLA (for example when a vehicle changes keeper), with HMRC, and with the police, courts or other authorities. If you pay or finance through a third party, they have their own notice.

Some of these companies may handle information outside the UK. Where they do, we use providers that apply recognised safeguards for international transfers.

4. How long we keep it

  • Website visit counts: 13 months, then they are deleted.
  • Chat: we don’t keep conversations. The IP address used to limit messages is held for up to an hour.
  • Enquiries (valuation, part-exchange, reservations): for as long as we need them to deal with your enquiry and any sale that follows, then they are deleted.
  • Sales invoices, purchase receipts and the signatures on them: 6 years, because we have to keep business and tax records.
  • Photo ID: only as long as we need it to complete the purchase and deal with any question or fraud concern about it. It is not kept as part of the sales record, and we delete it once it is no longer needed.
  • Staff sign-in security: a scrambled record of failed sign-in attempts, kept for up to a day.

5. Your rights

You can ask us to:

  • tell you what information we hold about you and give you a copy;
  • correct anything that is wrong;
  • delete your information (we will, unless the law means we must keep it, such as a sales invoice);
  • stop or limit how we use it, or stop using it where our reason is “legitimate interests”;
  • give you your information in a form you can move elsewhere.

It costs nothing and we will answer within one month. Email info@autohubleeds.co.uk. If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

6. Cookies and what is stored on your device

We don’t use advertising or tracking cookies, and counting visits (section 2) sets none. Cookies are used only to keep our own staff signed in to the admin area. Your browser also keeps two small things for convenience, neither sent to us: the list of cars you save with the heart button, and a note that you closed the chat window during your visit.

7. Keeping it safe

Your information is held on secure, access-controlled systems and is encrypted when it travels between your device and ours. Photo ID and signatures are visible only to us. No system is perfectly secure, and if something went wrong that put your rights at risk we would tell you and the ICO as the law requires.

8. Children

Our services are for adults. We don’t knowingly collect information from anyone under 18.

9. Changes to this notice

If what we do with your information changes, we will update this page. You can also see our terms & conditions.
